Load riders' Word cards

If your chapter tracked a season by hand, with one Word document per rider and a photo in each square they finished, you can load those cards instead of retyping them. Each square with a photo becomes an approved stop for that rider. Nothing is saved until you tap the load button. A rider who already has a Kickstand account has to say yes to joining your chapter before their card loads.

Before you start

• Build the challenge first, with its stops in the same squares as the Word card. Squares match by position: the first table in the document is the card, read left to right, top to bottom.
• The section only appears on chapter challenges, not national ones.
• Cards must be .docx files (or a .zip of them). Photos in the card should be ordinary JPEG, PNG, or WebP images. The files are read in your browser, and only the photos and matched stops are sent.

Load one card

1. Open Chapter console, stay on Challenges, and click your challenge. Scroll to Load riders’ cards from Word.

   

2. Choose one .docx file. Each square shows its photo or its text. Squares with a photo have a Load box you can untick.

3. Read any warning. “The Word card has 4 columns but this challenge is 5 × 5” means the layouts differ. A list of squares that “don’t match the stop in that spot” shows what the card says and what the challenge has. A photo square with no stop shows “No stop here” and won’t load.

4. Pick the Rider. If the file name looks like a name, such as “SkipSheehan-2026 Get Out & Ride Challenge.docx”, Kickstand selects that member when the name matches exactly. For someone who isn’t in your chapter yet, choose “Not in the list (enter email)” and fill in Rider’s name and Rider’s email. If that email already has an account, see “Riders who already have an account” below.

5. Set Counts as done on. The card has no date for each stop, so every loaded stop counts on this one day. It starts as the day the Word file was last saved, and it can’t be in the future.

6. Tap Load N stops. You will see “Loaded N stops.” and, if any were done already, how many were already approved.

Load many cards at once

1. Bring in all the cards at once, any of these ways:
   • Tap Choose a folder and pick the folder that holds the cards. Cards in subfolders are found too, and anything that isn’t a Word card (notes, Word’s temporary “~$” files) is ignored.
   • Select all the .docx files together in the file box.
   • On Google Drive or OneDrive, download the folder from the website (it arrives as one .zip file) and choose that zip in the file box. If you use the Drive or OneDrive app that syncs folders to your computer, you can choose the synced folder instead. Kickstand can’t open a Drive or OneDrive folder on its own yet.
2. Kickstand reads each one and shows “N cards, M matched to a member.” Each row has the guessed name, the photo count, any problem in red (such as “No photos to load”), a rider menu, and a Counts as done on date.
3. Matches use the name in the file name: the same letters ignoring spaces and capitals, or the only member with that last name and first initial.
4. A card with a clean match is ticked. A card with no match shows Pick the rider and stays unticked until you choose. A card with a problem is unticked too. Read it, then tick it if it is fine.
5. Tap Load N cards. They load one after another, and each row reports “Loaded 12 stops, 2 already approved” or a red error.

Riders who already have an account

A rider has an account of their own when they have signed in, or they belong to another chapter. Kickstand doesn’t add them for you.

1. Enter their name and email under “Not in the list (enter email)” and tap Load N stops.
2. Kickstand invites them instead. It emails them and puts a card on their Home screen with Join and No thanks. You see “They already have an account, so we asked them to join. Load their card after they say yes.” in red, but the invitation did go out and nothing was loaded.
3. Watch Waiting for their yes at the top of Members. See Import your roster and invite everyone.
4. After they say yes, pick them in the Rider list and load their card.

If they said no thanks to your chapter earlier, the card isn’t loaded and they aren’t asked again.

Good to know

• Loaded stops count on the leaderboard and toward finishing, ranked by the credit date you chose. To change one stop’s date later, see The officer dashboard.
• Loaded stops are left out of activity and health stats, such as the “When riders send photos” chart.
• To check a loaded card, or to add one missing photo a member sent you, see Open a rider’s card and add a photo.
• A square the rider already has approved is skipped, so loading a card twice never doubles anything.
• A rider with no account yet gets one and joins the chapter. They sign in later with that email.
• For many cards, import the roster first so every rider is in the list. Riders who already have an account are invited by the import, and they show in the list once they say yes. See Import your roster and invite everyone.
• A rider who was removed from the chapter has to be added back first.
• Only chapter admins get the member list. A manager who isn’t an admin types the rider’s email and loads one card at a time.
